Responsibilities:

  1. Calendar Management: Manage and maintain executive calendars, including scheduling meetings, appointments, and travel arrangements. Coordinate with internal and external stakeholders to ensure efficient use of executive's time.
  2. Meeting Coordination: Prepare agendas, meeting materials, and presentations for executive meetings. Take meeting minutes, track action items, and follow up on progress. Coordinate with attendees and arrange necessary logistics.
  3. Communication Management: Handle incoming and outgoing communications on behalf of the executive, including emails, phone calls, and correspondence. Prioritize and respond to inquiries, redirecting them to the appropriate individuals or departments as needed.
  4. Travel Arrangements: Coordinate and book travel arrangements for the executive, including flights, accommodation, transportation, and visas. Prepare itineraries and ensure all necessary arrangements are in place.
  5. Document Management: Create, edit, and proofread documents, reports, and presentations. Organize and maintain digital and physical files, ensuring easy retrieval of information.
  6. Relationship Management: Build and maintain strong relationships with internal and external stakeholders. Act as a liaison between the executive and various teams, departments, and external partners.
  7. Event Planning: Assist in organizing and coordinating company events, conferences, and meetings. Handle logistics, invitations, attendee lists, and event follow-up.
  8. Confidentiality: Handle sensitive and confidential information with utmost discretion and maintain confidentiality at all times.
  9. Miscellaneous Tasks: Undertake ad-hoc administrative tasks, projects, and assignments as required by the executive. Conduct research, prepare reports, and assist in special projects as needed.
