  • To provide support as Executive Assistant to 3 Directors Technology and provide adhoc support to other identified members of the USCB Technology leads as required like holiday cover for other EAs

What will you be doing?

  • To manage calendar, manage support for meetings rooms and day to day support
  • To act on behalf of directors for approvals (as permiited by policy)
  • To take notes from meetings,publish minutes and track actions
  • To work with other directors (spread globally) to ensure smooth organising of meetings
  • In addition the responsibilities listed below, this role will be required to provide administrative support in site level activities as identified from time to time.

Management and Team Support 50%

  • Manage appointments for the Manager. .
  • Book all travel arrangements and accommodation, and itineraries under own initiative, taking account of ensuring that their preferred style/known wishes are conveyed and being aware of the degree of discretion that can be exercised
  • Liaise with management and staff regarding a wide range of ongoing matters. Monitor, progress and ensure all actions and paperwork are coordinated in preparation for meetings in line with deadlines.
  • Organize meetings and functions at internal/external venues. Liaise with internal/external contacts, visiting and vetting locations, agreeing dates, menus, prices.
  • Act as the main reference point both in the presence and absence of executive. Respond to/resolve a wide range of queries, channeling to the appropriate area if necessary thereby leaving managers free to concentrate on only the most important matters.
  • Maintain a good working relationship with other CIO support and administration staff, providing back-up and cover during periods of heavy workload or absences
  • Manage the administration and support for team as appropriate, including paying invoices and maintaining stationary supply.
  • Co-ordinate major meetings / workshops at internal / external venues.
  • Organize accommodation and travel for overseas and domestic visits

Administrative Support 50 %

  • Undertake the administrative functions required for smooth running of the assigned function
  • Maintain finance records (SAP, expenses, company purchase orders), challenging inappropriate expenditure
  • Maintain accurate timesheet records for executive team members, producing complete and accurate reports within one week of the end of each calendar month
  • Create and maintain records and filing systems, which might include confidential / sensitive information

  • Awareness of Barclays business, territories and major lines of business
  • Understanding of the role and responsibilities of the CIO function in a large organization
  • PC – relevant packages e.g. Outlook, Word, PowerPoint, Excel etc.
  • Able to conduct basic research and retrieve information using the Internet
  • Good level of social and communication skills when dealing with a range of people and situations
  • Able to communicate effectively, both orally and in writing, with clients, customers, colleagues and subordinates
  • Good level of planning and organization skills
  • Good level of time management skills
  • Good numeracy needed for budget figures/expenses
  • A good level of literacy and accuracy is expected
  • Logical decision making, effective listening and utmost professionalism
