What this job involves:

  • The role is responsible for full delivery of Facilities Management services at independent site. The purpose of the role is to deliver good quality, cost effective and risk free office environments and services to customer.
  • Responsible for managing the day to day site operations to ensure the SLAs are delivered as per agreed KPI in the agreement.
  • This is a critical position as he will be placed as site lead and will report to Facilities Manager.
  • Responsible for smooth operations at site
  • Ensure that quality of the services is always maintained at highest levels and work on further improvements
  • Distribute and keep the records of all the consumables and facilities assets
  • Supervises and manage facilities vendors (I.e. housekeeping, M&E, cafeteria, AMC, R&M, pantry services, Utilities and adhoc etc.)
  • Maintain inventories of equipment's and supplies
  • Reports unsafe / abnormal conditions and unusual occurrences to the concerned team
  • Received customer suggestion and make necessary improvements
  • Ensure Legal & statutory compliance is implemented at the site and 100% compliance score is achieved.
  • Monitor the Mechanical, Electrical, HVAC, Plumbing and Civil maintenance work carried out within the facility.
  • Oversee compilation and deliver the appropriate monthly reporting
  • Oversee the deployment of manpower ( soft/Technical ) at the site
  • Oversee the development and management of the capital and expense budgets in relation to technical/soft services.
  • Monitoring of all scheduled maintenance activities as per planned preventive maintenance calendar

Compliance Management: -

Follow up with Vendor partners for timely submission of compliance document; ensure the services are imparted as per compliance

Occupant Services

Ensuring quality occupant service. Specific duties may include:

• Ensure that the team closely liaises with the Technical operations team to ensure service standards are maintained

• Evaluating service response time and analyzing occupant service request trends and suggestions

• Ensure feedback from client sessions is recorded and auctioned to the satisfaction of the end user.

• Recommending continuous quality improvement practices across the sites.

• To co-ordinate and monitoring the contractor management program

Financial Performance:

Track AP/AR, Vendor invoices, NDC.

• To lead by example and groom the team in achieving maximum client satisfaction level

Reporting:

• Ensure and complete periodic reporting to meet client expectations and internal requirements as per regional standard.

• Ensure that the team delivers meaningful inputs across the region in the development of monthly management reports.

Leading on-site operations

Are you a pro at giving on-site support? Working with a team, you’ll oversee the day-to-day client activities for the assigned property or facility. You’ll also implement building procedures and performance measures—and ensure that they are maintained at all times. Likewise, you’ll boost on-site operations by promoting best practices and creating better processes. This job will also entail the question “How do I ensure the safety of my colleagues?” You will do this by promoting adherence to health and safety standards.

Winning our clients’ trust

As the FE (Soft)/ Workplace coordinator you’ll be working frequently with clients, so you’ll need to build strong relationships with them. Likewise, you’ll need to be proactive and engaging; and make sure that the clients’ expectations are met each and every time. You will also be the go-to person for any facilities-related concerns.

Keeping an eye on budget and contracts

Do you have a solid background in finance management? As the person in charge, you will take care of the site’s financial operations. Also part of your job is to coordinate with vendors and suppliers, and make sure that they deliver quality work practices according to the contract, and at the right cost.

Do you have three to five years’ experience of managing a property? If so, you will be a perfect fit for the role.
